AgilQuest's Guide to Preparing Your Department for Winter Weather You'll need to communicate the goals of the plan and how you expect to test and eventually execute on the plan. Your team will need to know that you will continue operations during such events and what they should expect during those times. Help your staff to prepare for practicing and for actually working from home or remotely: How will they know if they should execute on the response plan? Will there be a website to check? A recorded message going out? A person to call? What will they use to communicate with each other, with the rest of the organization, and with external entities like customers and vendors? How will they find the quick dial numbers normally taped to the desk or programmed into the phone? How will meetings and collaboration occur now that most or all staff members are geographically dispersed during the weather event? Instant messaging? The company conference lines? Personal cell phones? Now you'll need to make sure your staff has what they need to continue working, to continue delivering service and performance that you've identified earlier. Are they aware of where they can work? Are these places acceptable, ready, and secure for your staff doing department work from there? Other company facilities (hoteling) – if you are using a network of space and have other locations which support flexible workplace programs like hoteling or free address, can your staff reserve space there, work and meet in these other locations temporarily? Home – do each of the staff have a place at home where work can be performed, meetings joined, and communications remain adequate? Co-working, pro-working and business centers – are there commercial facilities, designed to be temporary workplaces, where your staff can operate and perform from while the regular office is inaccessible or unavailable?
