AgilQuest's Guide to Preparing Your Department for Winter Weather Coffee shop – are there non-office locations unaffected by the weather or other event where your staff can perform work of some kind? While working and collaborating from these alternative locations, is there sufficient connectivity to the necessary resources to allow normal or adequate work to occur? While working in these locations, is there sufficient security on the data, the communications, the physical materials for work and meetings? When each person goes home for the day, are they carrying with them all the tools they need to do their job? If a snowstorm hits tonight, will they have the laptops, with the right apps, and the right VPN software, to connect and work without having to go back the office for a forgotten item or to load a required piece of software? Beyond the work devices, files and data, they will need to communicate while outside the office. Are all the phone numbers, points of contact, customer and vendor names stored somewhere accessible from outside the office? Can your staff take and make calls and send emails without the physical lists and directories and sticky notes they have at their normal desk? Next you'll need to provide training to all those who will be working from outside the office during the event. Each person will need to know what they should do, how they can reach others, and who to turn to for help. None of this planning and preparation is reliable without good practice. You'll need to try out your plans, test the advice you've been given, and see what works for your department and what needs adjustment. This guide is just a beginning; for your unique situation and department, you'll need to try it out, review the results, make changes, and repeat. – make sure your customers know you'll be practicing for the winter weather ahead. That will help them understand if you discover any hiccups in the process… and it will let them know you are working toward an even higher bar of service, one that will continue delivering even in the face of severe weather.
